Who can automate admin for a real estate brokerage or an estate agency?

Five kinds of provider automate admin for a real estate brokerage or an estate agency. The vendor of your transaction software onboards you on what it sells. A transaction coordinator service takes the paperwork, by the deal. A virtual assistant firm places a person with you, by the month. A partner from an automation platform's directory builds on that platform. An independent builder, such as Alea Applied AI, builds across the tools you already run and operates the result.

Who does this work, and when does each one fit?

Two of the five put a person on the work. The others set up or build software. The prices are the ones each company published on 3 October 2026, in dollars.

  1. The software vendor's own team

SkySlope describes its product as transaction management from contract to close, with support by phone, chat or email around the clock and, for brokerages that want it, onboarding with a dedicated representative. Lone Wolf says its Back Office brings accounting, commissions, trust management and reporting into one system, and it runs training sessions for the product. dotloop presents itself as transaction management software for brokers. This route fits when the product already covers the job and your agents are not yet using it.

  2. A transaction coordinator service

A coordinator service takes the contract-to-close paperwork off your agents, typically by the deal. Transactly says its coordinators review the paperwork, manage the documents, coordinate inspections and manage escrow and title. On its pay-as-you-go plan it listed 399 dollars per transaction for full contract-to-close coordination and 150 for listing coordination, and it notes that California pricing may vary. This route fits when your volume is uneven and you would rather pay per transaction than carry a salary.

  3. A virtual assistant firm

MyOutDesk says it matches real estate agents, brokers and teams with full-time virtual assistants for administrative work, inside sales, marketing and transaction coordination. Its pricing page showed plans starting at 1,988 dollars a month, and at 2,500 for what it calls specialised outsourcing; the page does not say which tier a real estate role falls in. This route fits when the work needs a person every day and you want that person outside your payroll.

  4. A partner from an automation platform's directory

Zapier and Make each publish a directory of partners who build on their platform. This is the route when the job is connecting apps you already use, a lead source to a CRM to a calendar, and you are content for it to be built on that platform.

  5. An independent builder

An independent builder builds the workflow across what you already run and operates it afterwards. That is our work: enquiries answered in minutes, viewings and showings booked without the email thread, documents and signatures chased on a schedule. For estate and letting agencies we build on top of the CRM you already use, including Reapit, Alto, Jupix, Street.co.uk and Dezrez, and we agree the acceptance criteria in writing before we start. This route fits when the work falls between systems and keeps coming back to the owner's desk.

What do we do, and on what terms?

We build and run the system inside the software your brokerage or agency already uses. It starts with a fixed-fee audit, about a week, that measures the current process and models the fix. The build is then scoped and quoted at a fixed price, and a first working version is usually live in two to four weeks. The acceptance criteria are written before any build begins: what the system will do, measured how, by when. If it does not meet them, the fix is ours. After that we can keep running it, reviewed monthly, and you can cancel at any time.

Frequently asked questions

Who can automate admin for a real estate brokerage?

The vendor of your transaction or back-office software, a transaction coordinator service, a virtual assistant firm, a partner from an automation platform's directory, or an independent builder. The first sets you up on the product you bought, the next two put people on the paperwork, and the last two build something: on one platform, or across the tools you already run.

What does it cost to hand transaction paperwork to someone else?

On 3 October 2026 Transactly listed 399 dollars per transaction for full contract-to-close coordination on its pay-as-you-go plan, noting that California pricing may vary, and MyOutDesk listed plans for a full-time virtual assistant starting at 1,988 dollars a month, with specialised outsourcing from 2,500. Ours starts with a fixed-fee audit, and the build is then quoted at a fixed price.

Is ShowingTime an automation provider?

ShowingTime describes itself as a provider of showing software and market statistics, and says its products automate the scheduling and management of showings. The same site says ShowingTime is part of ShowingTime+, a brand under Zillow, and lists dotloop in the same suite.

Should an automated system send wire instructions?

The National Association of REALTORS recommends that real estate professionals never send wire instructions by email, and that they verify any wire instructions by phone, on a number obtained independently. We treat that as a line: we do not build systems that send wire instructions. Some things should not be automated, and we say so.

Does it work with the software we already use?

We build inside the software the firm already runs. For estate and letting agencies that includes Reapit, Alto, Jupix, Street.co.uk and Dezrez. Reapit also runs a partner programme of its own, under which technology providers publish apps and integrations to its AppMarket.
